The Office of Academic Multicultural Initiatives (OAMI) seeks an Administrative Assistant to support staff in general office operations, payroll, human resources, finance, and facilities management.


OAMI has a 35-year history of delivering quality campus programming to serve the needs of college and pre-college students and contribute to the research community.


The successful candidate will be a creative, solutions-oriented, reliable, collaborative, skilled, and organized professional who will coordinate the day-to-day office operations and provide a variety of administrative and program support duties.


Responsibilities*


HR Support


  • Assist managers, including directors, with pre-hiring, onboarding, and offboarding processes for team members.
  • Manage completion, submission, and communication of relevant request forms.
  • Monitor and track team equipment assignments.
  • Maintain up-to-date email groups and manage team member access permissions.

SAMI Grants Management


  • Assist with award distribution and program reporting.

Procurement Support


  • Manage procurement tasks, including Purchase Request Forms, requisition processing for Purchase Orders, and P-Card reconciliation.
  • Handle expense reimbursements, supply ordering, and receiving processes.
  • Oversee honorarium and incentive payments.

Budget & Finance


  • Reconcile departmental accounts, including processing PARs.

Administrative Support


  • Provide general administrative support, including scheduling meetings and assisting with team events.

Timekeeping Support


  • Assist with timekeeping activities for assigned staff.

  • Demonstrate a high degree of diplomacy and professionalism
  • Ability to work independently and cooperatively

Modes of Work
