As a <strong>Payroll Consultant</strong> at Mosaic, you will be responsible for end-to-end payroll processing for multiple clients across varying payroll frequencies (weekly, bi-weekly, semi-monthly, monthly). This role ensures accurate, timely, and compliant payroll delivery while managing client relationships, resolving payroll issues, and driving process efficiencies within a multi-state environment.</p> <p><strong> </strong></p> <p><strong>What you’ll do:</strong></p> <p><strong>Payroll Processing & Delivery</strong> </p> <ul> <li>Process payroll for multiple clients with varying pay frequencies (weekly, bi-weekly, semi-monthly, monthly) </li> <li>Validate payroll data including earnings, deductions, taxes, and adjustments </li> <li>Review and balance payroll prior to finalization and transmission </li> <li>Manage off-cycle payrolls, bonuses, and adjustments as needed </li> <li>Ensure payroll is processed accurately and delivered within client deadlines </li> </ul> <p><strong>Client Management</strong> </p> <ul> <li>Serve as primary payroll contact for assigned client portfolio </li> <li>Communicate payroll timelines, requirements, and issue resolution clearly </li> <li>Provide consultative support on payroll best practices and compliance </li> <li>Maintain strong relationships and high client satisfaction </li> </ul> <p><strong>Compliance & Tax Management</strong> </p> <ul> <li>Ensure compliance with federal, state, and local payroll regulations </li> <li>Support tax filings, amendments, and quarter/year-end activities (W-2s, 941s, etc.) </li> <li>Monitor changes in payroll legislation impacting clients </li> </ul> <p><strong>Data Validation & Issue Resolution</strong> </p> <ul> <li>Audit payroll inputs/outputs for discrepancies </li> <li>Investigate and resolve payroll errors, variances, and client inquiries </li> <li>Partner with internal teams (tax, benefits, HRIS) for issue resolution </li> </ul> <p><strong>System & Process Management</strong> </p> <ul> <li>Utilize payroll systems (e.g., UKG Pro, ADP, Workday) to process payroll </li> <li>Maintain and update payroll configurations, earnings/deductions, and employee data </li> <li>Identify opportunities to automate manual processes and improve efficiency </li> <li>Document SOPs and maintain payroll processing documentation </li> </ul> <p><strong>Time & Billing Accountability</strong> </p> <ul> <li>Track time accurately across clients, projects, and payroll cycles </li> <li>Meet utilization and billable hour targets </li> <li>Support forecasting and workload balancing across client portfolio </li> </ul> <p><strong>Model Mosaic’s customer service vision of Guide, Anticipate, Exceed</strong></p> <p><strong> </strong></p> <p><strong>How you’ll be measured:</strong></p> <ul> <li> Payroll accuracy and on-time delivery rates </li> <li>Client satisfaction and retention </li> <li>Reduction in payroll errors and rework </li> <li>Billable utilization targets – 80% </li> <li>Compliance adherence (no penalties/late filings) </li> </ul> <p><strong>What we offer you: </strong></p> <ul> <li>A competitive salary of $68,000-$80,000 with bonus potential</li> <li>Comprehensive benefits, perks and PTO package</li> <li>An award-winning company culture in a flexible, remote environment</li> </ul> <p><strong> </strong></p> <p><strong>What makes you successful:</strong></p> <p><strong>Need to haves:</strong></p> <ul> <li>3–5+ years of multi-client payroll processing experience </li> </ul> <ul> <li>Strong experience with multi-frequency payroll processing </li> </ul> <ul> <li>Multi-state payroll tax knowledge </li> </ul> <ul> <li>Experience in payroll systems (UKG preferred) </li> </ul> <ul> <li>Strong attention to detail and accuracy </li> </ul> <ul> <li>Ability to manage multiple deadlines concurrently </li> </ul> <p> </p> <p><strong>Nice to haves:</strong></p> <ul> <li>CPP (Certified Payroll Professional) certification </li> <li>Experience in a managed services or consulting environment </li> <li>Year-end payroll experience (W-2s, audits, corrections) </li> <li>A completed degree from an accredited University</li> </ul> <p> </p>
