As an Executive Administrative Assistant within the Federal Government Relations (FGR) team, you will be a key partner and report to the Head of Federal Government Relations. The FGR team is responsible for developing and implementing strategy for federal policy issues before Congress and the Administration. You will need to work well in a team environment, be able to represent the managers/groups with professional courtesy and acumen, and deliver flawless work output in a timely manner. Your daily routine will consist of complex executive calendar management, high frequency travel, and timely expense preparation. You will also require excellent communication skills, which includes interaction with several high-level executive teams across the lines of businesses. You are also expected to adapt procedures, processes and techniques to complete assignments in line with the department's activities and goals.

Job responsibilities
Manage complex schedules/calendars in a fast-paced and dynamic environment which requires the need to be available for support before and after hours; Schedule internal and external meetings in-person and via video conferencing; adjustment and prioritization of last-minute changes including logistics such as conference rooms, events, and catering; Respond to and follow up on calls, emails and other inquiries on managers' behalf; Arrange and maintain staff travel arrangements; Reconcile and complete expense reports; Manage Federal Government Relation's records and document management system; Support written communication, talking points and messages on behalf of Federal Government Relations. Support monitoring and tracking of team's budget; timely process and track invoices with accuracy Lead coordination and consolidation of inputs for recurring reports, ensuring completeness and timely delivery Develop and implement administrative processes and procedures to improve team efficiency and reduce operational burden

Required qualifications, skills and capabilities
High attention to detail; follows through to ensure accuracy and comprehensiveness; Exceptional verbal, written and interpersonal communication skills and the ability to communicate effectively with individuals across all levels of an organization, including executive/C-Suite management; Sound judgment and strong independent problem-solving and collaborative skills; Positive self-starter with proactive approach, excellent time management and prioritization skills; Mastery of core Microsoft Office applications (Word, Excel, Outlook, PowerPoint) and Zoom; knowledge of the following systems: Concur, Salesforce, Ariba; experience and comfort with AI tools. At least 5 years of experience working in an administrative assistant capacity supporting multiple executives
Note: This role requires five days in the office (Mon-Fri) and will not support Hybrid options.
