Position Summary

The Accounts Payable Assistant is an entry level position that will work closely with the Accounting Manager to deliver accurate and timely Accounts Payable support.

Essential Functions & Key Responsibilities

  • Support the accounting department by performing basic accounting clerical functions including coding, inputting and scanning invoices for payment
  • Respond to vendor and supplier inquiries in a timely and professional manner
  • Validate pay applications to subcontracts and purchase orders
  • Assure accuracy of sales and/or use tax applied to invoices
  • Complete additional duties and special projects as assigned
  • Assist as backup support for payroll processing

Education & Experience

  • Minimum of 1 year of professional office experience required
  • Previous bookkeeping or accounting experience
  • Previous experience with sales and use tax filing
  • Payroll experience is a plus

Knowledge, Skills, and Competencies

  • Working knowledge of Microsoft Office Suite
  • Strong written and verbal communication skills
  • Record and summarize chronological activity
  • Capable of gathering and organizing data from multiple sources
  • Excellent organizational and time management skills
  • Strong attention to detail with a sense of urgency to meet deadlines

Physical Requirements
  • Able to lift 15 pounds occasionally; may at times lift and/or move up to 30 pounds
  • Mostly sedentary with prolonged periods of sitting at a desk and working on a computer within an office environment. Frequently required to reach with hands and arms, view a PC monitor, talk and hear. Occasionally required to stand, walk, stoop, or kneel.
Working Conditions
  • Work is primarily performed indoors Monday through Friday with a consistent schedule; but may work some unusual hours as needed.
